Keeping Sampling Schedules Orderly During Fieldwork Week
Small naming habits that keep sample selections, source docs, and follow-ups in one place.
Sampling week fails when selections live in one sheet, source PDFs in another drive, and follow-ups in someone’s inbox. The cure is boring naming and a single folder spine.
Name each sample file with the auditor’s sample ID, the document type, and the period. Example: AR-017_invoice_2025-11. When the auditor expands the sample, you can drop new files into the same pattern without renaming history.
Keep a short clearance log: sample ID, question raised, evidence provided, and cleared-by date. That log becomes the memory of fieldwork when people rotate off the engagement.
If your finance department uses shared cloud folders for audit documentation, lock the sampling folder’s structure before selections arrive. Renaming midstream is how duplicates multiply.
