Refunds and cancellations

Scope

This policy applies to professional engagements with AICloudBase for audit documentation support — including working paper preparation, evidence packing, multi-entity alignment, and readiness reviews. It does not cover software subscriptions or physical product shipments, which we do not sell.

Eligibility

Refunds depend on how much scheduled work has started, whether a deposit was paid, and whether cancellation or rescheduling notice meets the timelines below. Engagement letters may add project-specific terms; if they conflict, the signed letter controls.

Deposits

Fixed-fee engagements typically require a deposit (often 30%) to reserve team capacity near your period-end. Deposits are applied to the final invoice. Unused deposit amounts may be refundable under the cancellation rules below.

Cancellation by the client

• More than 14 days before the agreed kickoff: full refund of deposit minus any non-recoverable third-party costs already approved in writing.
• 7 to 14 days before kickoff: 50% of the deposit may be retained for reserved capacity.
• Fewer than 7 days before kickoff, or after kickoff: deposit is generally non-refundable; completed work to date is billable.

Work already started

Hours or milestones completed before cancellation are charged at the rates in the engagement letter. Draft schedules and indexes prepared for you remain billable even if you later choose a different documentation approach.

Partial refunds

If we cannot deliver a material portion of the agreed scope for reasons within our control, we will offer a partial refund or a reduced follow-on fee proportional to the unfinished portion.

Non-refundable items

On-site travel already incurred with prior approval, rush premiums for kickoffs inside two weeks of fieldwork, and completed readiness review reports are non-refundable once delivered.

Rescheduling

You may request one reschedule without penalty if notice arrives at least 10 days before kickoff and a new window within 60 days is agreed. Further moves may incur a rescheduling fee of up to 10% of the engagement fee.

No-shows

If key client contacts miss a scheduled workshop without 24 hours’ notice, that session may be counted as delivered for scheduling purposes, and a replacement session may be billed.

Refund process and timing

Email hello@aicloudbase.digital with your engagement reference and reason. Approved refunds are processed within 14 business days to the original payment method where possible.
